WHAT WE’RE LOOKING FOR

We are looking for a Senior Manager of Regulatory Affairs to join our team responsible for Material Documentation Management, Compliance & Stewardship. This position will be based out of our Head Office in Liberty Village.

    WHAT YOU’D BE DOING IN THIS ROLE

    Documentation, Systems, and Product Development including:

    • Manage the documentation component of product development work.
    • Request, vet, and organize documents from vendors.
    • Create, review, and validate ingredient lists (ILNs).
    • Ensure all raw material and packaging documents are current and meet regulatory requirements. Projects will be primarily cosmetic, DIN-OTC, or NHP with a focus on North American, European, and ASEAN regulations.
    • Manage documentation to support product claims.
    • Manage product reviews between the DECIEM and Estee Lauder (ELC) teams which include building processes for the onboarding and clearance of raw materials and formulas to ELC systems and providing updates to management.
    • Develop and implement tracking tools and master spreadsheets to manage raw material and packaging information, to ensure information is accurate and consistent, and projects are on track.
    • Lead the Regulatory team in the implementation, maintenance, and integration of the product life cycle management (PLM) system, enterprise resource planning (ERP) system, and quality management system (QMS).
    • Review Change Controls and execute corresponding actions, such as: updating PLM, assessing and tracking impact on product packaging (ILN changes) and communicating to ELC and third party manufacturers (TPMs).
    • Assist in onboarding new TPMs as it relates to raw materials and packaging components.
    • Jointly work with Supply Chain, Quality and R&D teams to qualify and approve alternate sources of existing raw materials.
    • Works with the Analytical and Micro teams to qualify new raw materials.
    • Act as liaison between DECIEM Stability / Analytical / Micro teams and ELC to support product shelf life and PAO.
    • Acts as liaison between DECIEM and ELC teams to codify raw materials in the ELC system.
    • Generate SOPs for regulatory procedures.

    People, Project, and Process Management

    • Prioritize and manage multiple concurrent projects in a dynamic environment. This includes new product development, reformulations, commercial expansion, and Legacy review.
    • Work collaboratively with internal and external stakeholders to roll out projects.
    • Implement processes to standardize and improve workflow.
    • Manage, mentor, train, and direct staff.
    • Manage department budget

    Customer Communications, General Support:

    • Support brand initiatives such cruelty-free and vegan certification.
    • Support sustainability initiatives (such as RSPO).
    • Support packaging extended producer responsibilities.
    • Support retailer inquiries and campaigns.
    • Prepare responses for customer inquiries for senior management review.
    • Develop and maintain tracking tool for information sourced for responses.

    SKILLS AND QUALIFICATIONS NEEDED TO GET THE JOB DONE

    • 10+ years of Regulatory Affairs experience in Cosmetic, DIN-OTC, or NHP industry
    • 5+ years of leadership or management experience
    • Understanding of cosmetics, DIN-OTC, NHP and food standards as it relates to raw materials, API, and test methodology
    • Familiarity with PLM, ERP, and QMS applications used in pharmaceutical, cosmetic, or related industry.
    • Ability to manage projects with 4+ supporting staff members
